This calculator is designed to help you estimate your annual income based on your therapist level, the number of treatments you aim to deliver each week, and the number of weeks you plan to work across the year. It’s a planning and goal-setting tool — not a guarantee — and works best when used alongside realistic expectations of clinic life.

Understanding Availability vs Booked Treatments
When using the calculator, it’s important to remember that your available hours and your booked hours are not the same thing.
As a general guide, therapists should expect to fill around 80% of their available appointment hours on average — particularly if you are newer to the clinic or still building a loyal client base.
For example:

If your goal is to complete 20 treatments per week, you will likely need to open availability for 24–25 treatment hours per week.

As your client base grows and you develop more regular, returning clients, your fill rate will naturally improve over time.
This is completely normal and part of the growth process for every successful therapist.
Allowing for Real-World Variables
It’s also important to factor in the realities of day-to-day clinic life, including:

Client cancellations due to illness

Occasional no-show appointments
While we work hard to minimise these through clinic systems and policies, they are an unavoidable part of healthcare and service-based work. These factors mean that even highly skilled and well-booked therapists will not fill 100% of their available hours, every week of the year.
